Position Summary:
The Team Administrator plays a key role in supporting core HR activities across both the UK and Global HR Teams. This position offers excellent opportunity for individuals who are beginning or developing their career in HR, to build a broad range of skills and practical experience. The successful candidate will support, directly and indirectly, around 450 UK colleagues at all levels and across a variety of different teams.
Key elements of the role include (but not limited to):

Providing support during the recruitment process, including posting job adverts internally and externally, managing the recruitment mailbox, tracking applications, scheduling interviews and position management within our HRIS.

Onboarding and being the first point of contact for all new starters.

Owning and managing the UK HR Inbox, being the initial contact for UK colleagues on HR matters, responding to queries or directing them where appropriate.

Preparing letters to colleagues including offer letters, contract change letters, probation letters and visa application letters.

Management of vendors and invoices, including raising purchase requisitions, submitting invoices, reviewing Purchase Orders, stewarding payment to completion and resolving queries from vendors.

Maintain the UK HR and associated internal information pages, updating information when required and making recommendations on content and design.

Responsible for record retention management and GDPR compliance, including archiving.

Support on sickness and holiday record maintenance.

Coordinating offboarding processes for leavers.

Maintaining accurate details for private medical insurance enrolments

Administering the Company Car Scheme and the EV scheme.

Stewarding the review and continuous improvement of policies and procedures, identifying opportunities to streamline, enhance, and automate key processes.

Skills and qualifications:

An understanding of the employee lifecycle and HR processes, for example from studies or prior experience working in an HR department.

Proven administrative skills, with strong attention to detail and right first time mentality

The ability to prioritise and multi-task in a busy and change-oriented working environment, with excellent organisation and time management skills

Ability to respond and support colleagues on varied enquiries with an awareness and appropriate handling of confidential matters.

A positive and collaborative approach with great communication skills, as well as a drive to learn

Computer literacy and full competence in using Microsoft Outlook, Excel, Word, and PowerPoint. Experience with SharePoint, Success Factors and SAP would be desirable.
